This Refund and Cancellation Policy ("Policy") applies to all subscriptions and purchases made through the KhataWise platform operated by Salasar eCommerce Total Solutions Private Limited (operating as "Arena Softwares"). This Policy is in accordance with the Consumer Protection Act, 2019, and the Consumer Protection (E-Commerce) Rules, 2020.

1. Free Plan and Trial

KhataWise offers a free-forever plan with essential features. We also provide a free trial period for paid plans so you can evaluate all features before making a purchase. We strongly recommend using the free plan or trial to ensure the Service meets your needs before subscribing to a paid plan.

2. Cancellation Policy

2.1 How to Cancel

You may cancel your paid subscription at any time through your account settings or by contacting our support team at support@khatawise.com. No questions asked.

2.2 Effect of Cancellation

Upon cancellation:

  • Your paid features remain accessible until the end of your current billing period
  • Your account will automatically revert to the free plan after the billing period ends
  • All your data will be preserved and accessible on the free plan
  • No further charges will be made to your payment method

3. Refund Policy for Monthly Subscriptions

Monthly subscriptions are billed on a recurring monthly basis. Due to the nature of digital services:

  • Within 48 hours of purchase: Full refund if the Service has not been substantially used (fewer than 10 transactions created)
  • After 48 hours: Monthly subscriptions are generally non-refundable. You may cancel to prevent future charges, and your access continues until the end of the current billing period

4. Refund Policy for Annual Subscriptions

Annual subscriptions offer discounted pricing in exchange for an annual commitment:

  • Within 7 days of purchase: Full refund, regardless of usage
  • 8-30 days after purchase: Pro-rated refund for the unused portion of the subscription, minus a processing fee of 10%
  • After 30 days: No refund. You may cancel to prevent renewal, and your access continues until the end of the annual period

5. Circumstances for Automatic Refund

We will issue a full refund without conditions if:

  • You were charged due to a billing error or duplicate transaction
  • A persistent technical issue prevents you from using the Service and our team is unable to resolve it within 7 business days
  • The Service was significantly misrepresented at the time of purchase
  • Your account was charged after you had cancelled your subscription

6. Non-Refundable Items

The following are not eligible for refunds:

  • One-time setup, onboarding, or data migration fees (if applicable)
  • Add-on services or professional services already rendered
  • Subscriptions terminated due to violation of our Terms of Service
  • Upgrades or plan changes after the first 7 days of the original purchase
  • Any amount corresponding to GST or other taxes already remitted to the government

7. How to Request a Refund

To initiate a refund request:

  1. Send an email to billing@khatawise.com with the subject line "Refund Request"
  2. Include your registered email address, company name, and subscription details
  3. Describe the reason for your refund request
  4. Attach any relevant screenshots or documentation (if applicable)

Our billing team will acknowledge your request within 2 business days and provide a resolution within 5 business days.

8. Refund Processing

Once a refund is approved:

  • The refund will be processed within 5-7 business days
  • The amount will be credited to the original payment method used at the time of purchase
  • Bank processing times may add an additional 3-5 business days for the amount to reflect in your account
  • Refunds for UPI and wallet payments are typically processed faster (1-3 business days)
  • Any bank charges, currency conversion fees, or payment gateway charges incurred during the original transaction are non-refundable

9. Plan Downgrades

If you downgrade from a higher-tier plan to a lower-tier plan:

  • The downgrade takes effect at the start of your next billing cycle
  • You retain access to all features of your current plan until the end of the billing period
  • No partial refunds or credits are provided for mid-cycle downgrades
  • Features exclusive to the higher-tier plan will become unavailable after the downgrade takes effect

10. Dispute Resolution

If you are dissatisfied with the outcome of your refund request, you may escalate the matter by emailing legal@khatawise.com. We are committed to resolving all disputes fairly and in accordance with applicable consumer protection laws.
